What we collect and why
When you send the contact form
We store what you type, so we can reply and prepare what you asked for:
- your name and email address
- your company and your phone or WhatsApp number, if you add them
- what you need from us, and which service it is about, if you choose one
- your message
We also store the date and time you sent it, the date it was last changed, and a status we set as we follow up (new, contacted or closed).
When you use the free audit
If you use the free audit, your answers are worked out in your browser and are not sent to us. If you choose to send your results, we store your answers, the estimate and the details you enter (name, email, and optionally company, phone and a note) as a request, with the same coded IP address and the same limits as the contact form.
A coded version of your IP address
When you send the contact form or your audit results, your IP address is turned into a one-way code (a keyed hash) and the code is stored with your request. We use it only to limit how many requests one connection can send, counting both forms together: 3 in 10 minutes and 10 in a day. We do not store your IP address itself, and the code cannot be turned back into it.
Spam checks
Both forms have a hidden field that people never see, and they note the moment the form appeared on your screen. Both are checked when you send it, to spot automated spam, and neither is stored.
What we do not collect
You do not need an account to use this website. There is no analytics, no advertising and no tracking on it yet, and it loads no tracking scripts from other companies. If we add analytics, we will update this page first.
The map on our About page
If you choose to show the map on our About page, your browser connects to Google, which may set its own cookies, and we only load the map after you accept cookies or click to show it.
Who handles your details
We use these services to run the website. Each handles your details only to provide that service to us:
- Our hosting provider runs the website and processes every request to it. The website’s server functions run in Singapore.
- Our database provider stores the database that holds contact requests and audit results, in Singapore.
- An email provider sends us an email with the details of each request, which arrives in our team’s inbox.
Our hosting provider also stores the images our team uploads to this website, such as blog images. That storage never holds the details you send through our forms.
Only members of our team who sign in to the admin area can see requests. We do not sell your details.
How long we keep it
We check website requests (contact requests and sent audit results) once a month, and delete each one once it reaches 24 months.
If you become a client, we keep your client records for as long as the law requires for business records.
Technical logs are short-lived and deleted automatically.
Sent emails are held by our email provider for a limited period.
Asking us to delete your details
To ask for a copy of your details, a correction or deletion, email support@cognifaze.com. We reply within 30 days.
When you ask us to delete your details, we:
- check the request comes from you, by replying to the email address you used;
- find every request sent from that address, from either form;
- delete them from our database (the coded IP address is stored with each request, so it goes too);
- delete the notification emails about them from our inbox;
- reply to confirm it is done, within 30 days.
Copies held by the services above are removed when their own retention period ends (see “How long we keep it”).
Keeping it safe
The website is served over an encrypted connection (HTTPS). Requests can only be seen by our team after signing in, and the details you send cannot be changed afterwards, only their status.
Changes to this page
When what we collect or who handles it changes, we update this page and the date at the top.
